Purpose
In Microsoft 365 each user can control personal automatic reply settings (formerly "Out of Office Assistant").
Most businesses that use Microsoft 365 have to generate auto replies for messages sent to common corporate addresses (support@contoso.com, info@contoso.com, etc.). Usually the companies use a combination of the shared mailbox and Outlook rule "Have server reply using a specific message".
However there are some disadvantages with this method:
- An auto-reply message is sent to the address specified in the From: field of the original message. It ignores the Reply-To: address if one is present.
- The subject line of the auto-reply message is always the same. It doesn't correlate with the Subject line of the original message.
- The body of the auto-reply message does not include the original message text.
AutoReply flow has the following features:
- The subject line of the auto-reply message consists of the prefix ("Confirmation:", "AutoReply:", etc.), and the subject line of the original message.
- If the original message has a Reply-To: address field, the auto-reply message will be sent to this address. If the original message does not have a Reply-To: address field, the auto-reply message will be sent to the From: address of the original message.
- You can customise the content of the auto-reply message.
- The body of the auto-reply message may include the original message text.

Installation
- Open Microsoft Power Automate and import the autoreplyflow_shared_1002.zip file into your flows list as described here.
- The flow uses the connection "Office 365 Outlook". Use your existing connection or create a new one when prompted.
- Enter the User Principal Name (UPN) of your shared mailbox in the "Original Mailbox Address" field. Select "Inbox" in the "Folder" field. Save the flow.
- Turn on the flow.
Limitations
This flow is designed to auto-reply to the messages that are received by a Microsoft 365 shared mailbox.
