FromGALtoContacts flow for Office 365

 

If your organization uses Office 365 and stores employee contact information in Exchange Online, all contact information for these employees can be found in the GAL (Global Address List) in Outlook. You want this information to be available on mobile devices — for example, so employees can identify incoming calls from colleagues or easily find someone to call. You can manually copy contacts from the GAL, but this is not a practical solution when new employees join or when contact details change.

FromGALtoContacts is a cloud instant flow that creates a local contact for each mailbox in the GAL. You can run it any time you want to refresh your local "mirror" of the GAL mailboxes.

Installation

1. Run Office 365 Power Automate and create the "Office 365 Groups" connection.

   

2. Import the FromGALtoContacts101.zip file into your flows list as described here.

   

3. Turn on the flow.

   

Testing

1. Run the FromGALtoContacts flow. Once it has finished, using your mobile device, verify that the GAL items have been added to the "Contacts" folder.

   

2. (optional) Open Outlook for Windows and click "More Apps" and then "Folders". Navigate to the "Contacts" folder and confirm that the subfolder "FromGAL" has been created.
