Purpose
In Microsoft 365 each user can control personal automatic reply settings (formerly "Out of Office Assistant").
Most businesses that use Microsoft 365 have to generate auto replies for messages sent to common corporate addresses (support@contoso.com, info@contoso.com, etc.). Usually companies use a combination of the shared mailbox and Outlook rule "Have server reply using a specific message".
However, there are some disadvantages with this method:
- An auto-reply message is sent to the address specified in the From: field of the original message. It ignores the Reply-To: address if one is present.
- The subject line of the auto-reply message is always the same. It doesn't correlate with the subject line of the original message.
- The body of the auto-reply message does not include the original message text.
The AutoReply flow has the following features:
- The subject line of the auto-reply message consists of the prefix ("Confirmation:", "AutoReply:", etc.), and the subject line of the original message.
- The auto-reply is sent to the Reply-To: address if present; otherwise, it is sent to the From: address.
- You can customise the content of the auto-reply message.
- The body of the auto-reply message may include the original message text.

Installation
- When importing the flow, use your existing "Office 365 Outlook" connection or create a new one.

- Open Power Automate and import "autoreplyflow_shared_1002.zip", following the Power Automate documentation.

- Enter the User Principal Name (UPN) of your shared mailbox in the "Original Mailbox Address" field. Select "Inbox" in the "Folder" field. Save the flow.

- Turn on the flow.

Limitations
This flow is designed to auto-reply to the messages received by a Microsoft 365 shared mailbox.
